Privacy Policy

BHO Tech Inc. respects your privacy. This policy explains how we handle information submitted through the BHOT.ai website.

Information we collect

If you contact us or request a demonstration, we may receive the information you provide, such as your name, email address, company, role, and message. We may also receive basic technical information needed to operate and secure the website.

How we use information

We use information to respond to requests, provide product information, operate and improve our services, maintain security, and comply with applicable legal obligations.

Sharing

We do not sell personal information. We may share information with service providers that help us operate the website and business, or when required by law.

Free text trial after signup

The free text trial requires signup with your contact email, mobile number and text consent. We check that the sending number has a registered signup with text consent before providing trial access. Signup does not connect your inbox. Unregistered numbers receive a signup link instead of trial access. We use your sending number to route replies and keep your conversation separate. We store a hashed phone identifier and encrypt saved message content. Conversation content is cleared after 24 hours during subsequent message processing; non-content usage and delivery records are retained to manage limits and reliability. Twilio processes texts, and OpenAI processes your requests to generate answers or website content. This trial does not access connected customers’ email, calendars, contacts, or private account data.

Website drafts are saved so you can revise them. Anyone with a preview link can view that draft; a website becomes public only after you approve publishing. Saved website content remains until removed; contact us for deletion. Reply STOP to stop text replies or START to resume. Starting a trial conversation does not sign you up for marketing messages, a subscription, or payment.

Customer accounts and Outlook connections

When you set up BHOT.ai, we collect your contact email, optional mobile number, text preferences, the consent wording and time, and a PayPal subscription reference if provided. PayPal processes payments and manages trial and renewal dates; we do not receive your PayPal password or full payment-card details. A submitted subscription reference does not by itself verify subscription status.

You sign in to Outlook directly with Microsoft. With your permission, BHOT.ai receives read access to your mailbox. The owner can separately authorize email sending through Microsoft. BHOT.ai shows a complete draft and sends only after a separate approval. We store connection credentials encrypted and retrieve recent email details when you request a preview. This version does not automatically monitor your mailbox, archive messages, or delete email. Your connection and saved settings are associated with your own account. The owner can explicitly link additional mailboxes through Microsoft authorization to use them in one phone conversation. Linking grants access to those mailbox messages and approved sending from the main account; it does not copy phone consent or verification. Links can be removed on the connection page. Removing a link clears the shared conversation content and pending drafts; disconnecting a mailbox revokes its links. Other customers cannot access a mailbox without this explicit authorization.

We use a secure account cookie to remember your setup and sign-in. Saved connections can be disconnected on the Outlook connection page. Signing out ends the current browser session; disconnecting removes the saved Outlook access credentials. To revoke Microsoft's authorization, use your Microsoft account's app permissions. We retain account and consent records while needed to operate the service and honor preferences; contact us for deletion.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. We use service providers to operate the service and deliver messages, and may disclose information when required by law.

Optional Gmail connections

When you explicitly connect Gmail, Google authorizes read access. You can separately enable Gmail sending through Google’s consent screen. We store encrypted access and refresh credentials separately for your BHOT.ai account and bind Gmail reading to the phone you have verified. Requested searches may retrieve older messages, selected message threads and supported attachments. Relevant message excerpts and your questions may be sent to OpenAI to produce the answers you request; Twilio delivers requested SMS answers to your verified phone. Sending requires separate Google permission and your approval of each complete draft with SEND IT. This connection does not enable deleting or modifying existing Gmail messages. Other BHOT.ai customers do not receive access.

You can disconnect Gmail on your connection page. Disconnecting removes the saved Gmail credentials and shared conversation content for that connection. You can also revoke BHOT.ai access in your Google account permissions. Access and processing remain limited to the features you request and authorize.

Optional calendar connections

You can separately authorize read access to the primary calendar of your connected Microsoft account or Google accounts. BHOT.ai retrieves event titles, times and availability when you ask about your schedule. Calendar access stays bound to your verified account and phone; email read-sharing grants do not share calendars. Your question and recent questions may be sent to OpenAI to interpret dates and timezones. Event listings and available windows are computed by BHOT.ai and returned through Twilio to your verified phone. Calendar answers follow the same encrypted, limited conversation retention as other requested answers. This feature does not create or change events, send invitations, or monitor your calendar automatically. Disconnect the corresponding email account to remove its calendar access from BHOT.ai, or revoke authorization through Microsoft or Google.

Private AI text pilot

The owner-only pilot, when activated, uses OpenAI to answer questions about recent emails and Twilio to receive and deliver SMS messages. A requested answer may send your question, relevant content from up to ten recent inbox messages from each mailbox you have explicitly linked, a short conversation history, and your imported operating rules to OpenAI. The owner can prepare texts to their verified phone or candidates with recorded SMS permission, and prepare new emails or replies. Drafts, recipients, and sender details are shown before a separate SEND IT approval. Email sending requires Microsoft Mail.Send or Google Gmail sending authorization for the selected mailbox. Draft contents are encrypted, expire after 30 minutes, and are cleared after 24 hours on the next processing or status check. Delivery metadata remains for troubleshooting. The pilot cannot archive or delete email, or modify other business records. It does not automatically monitor email.

Imported operating rules are encrypted and tied to your account. The source and version are recorded; the rules are not automatically copied from ChatGPT memory or updated from incoming email. Questions and answers are encrypted in our database, excluded from follow-up context after 24 hours, and cleared on the next message-processing or pilot-status check. Disconnecting Outlook removes that conversation content. Delivery identifiers, statuses, consent preferences, and AI usage counts remain for operation and troubleshooting. OpenAI and Twilio may retain service data under their own policies. SMS content is visible to your mobile carrier and anyone with access to your phone.

Previously submitted candidate information

The recruiting signup form is no longer available on BHOT.ai. If you previously submitted that form, we collected your name, email address, optional mobile number, selected messaging preferences, the consent wording shown to you, the form address, and the submission time. We use these records to respond to your recruiting inquiry, honor your preferences, and document consent. We may process technical information to protect the form against abuse.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent will not be shared with third parties except service providers needed to deliver the messages and operate the service, or where required by law. Your SMS consent does not authorize us to submit your candidacy to an employer.

Text message frequency varies. Message and data rates may apply. You can withdraw SMS consent by replying STOP once messaging is active, or contact craig@bhotech.ai at any time for assistance or to change your preferences. Reply HELP for messaging help. We retain signup and consent records as needed for recruiting services, honoring opt-outs, and applicable recordkeeping obligations.

Website measurement

We count visits to public website pages using first-party, aggregated analytics. Records contain the day, page category, and a broad referral category such as LinkedIn or search. This measurement does not store contact details, full referring URLs, IP addresses, advertising identifiers, or analytics cookies, and it is not linked to signup records. Browser privacy signals and blocked scripts can prevent a page view from being counted. To estimate new and returning browser visits, local browser storage remembers the last visit time for up to 90 days and suppresses rapid repeat page reports. No visitor identifier is created or sent to our server. The server stores only aggregate new/returning visit counts by day; these are not unique-person counts. Clearing site storage resets these flags. Browsers with unavailable local storage are not included in new/returning counts. An owner who opens the dashboard has measurement disabled locally for that browser until site storage is cleared. We honor Do Not Track and Global Privacy Control signals. Basic hashed network information is used separately to limit abuse of the measurement endpoint. Only the owner can view customer signup records in the private dashboard.

Data choices

You may request access, correction, or deletion of information you submitted by emailing craig@bhotech.ai.

Changes

We may update this policy as our services develop. The effective date above identifies the current version.
